Tips for Writing a Letter of Resignation to Ensure a Graceful Exit in the True Spirit of Professionalism

    The way to resign is pretty standard across industries. People have several reasons to leave jobs, from personal to professional, and every reason is different, even under similar circumstances. Relocating to a new place, escaping a toxic work environment, looking for better opportunities for career advancement, starting a business, and many other reasons might trigger resignation. Regardless of the reason for leaving the job, there is a standard way of gracefully exiting the job even under the most trying circumstances. Of course, it is entirely different in the case of forced resignation, but the letter of resignation does not reveal the underlying truth.

Besides informing your plan to leave the job, you must convey your seriousness about your decision. The purpose is to make your intention clear so that the management receives the letter in the correct spirit.

    Give a Reason for Your Leaving

    Since exit interviews have become a norm, it is better to state why you leave the company. It is an optional tip about how to write a letter of resignation. However, it is not an obligatory requirement, and it’s up to you to decide if stating the reason would be comfortable for you.

    Give Advance Notice

    A resignation email can substitute for the typical resignation letter, but the nature of the content should remain unchanged. Remember that you must abide by the terms of employment that mention the mode of termination of service either by the employer or employee. Depending on the contract, you usually need to give advance notice of resignation. You must honor the terms of employment.     Express Your Gratitude

    Be courteous when separating from the company, even if you might not have a pleasing experience during your tenure. Stay true to professionalism and maintain a positive tone in the resignation letter or email. Thank the employer for the opportunities. Although you might feel differently inside, never let your emotions spill over and create controversies.

    Deliver the Letter Personally

    When submitting a manual resignation letter, inform your manager beforehand that you are leaving. It should help prepare the ground well and make accepting resignation easy. Follow it up by handing the letter of resignation personally to the manager.

    For email resignation, mail the letter soon after discussing it with your manager.
